What You’ll Do: 

  • Build, implement, maintain, and OWN all systems for delivering excellent internal and external customer service, lead generation, agent recruiting, tracking, internal communication, team calendar, company social media presence internally and externally, office management, client care systems, team retention and recognition including events, and referrals. 
  • Hire, train, lead, and develop all members of the operations team.
  • Own the agent and staff onboarding process, including holding trainings in person and virtually.
  • Create and own systems for maintaining integrity of the database, including holding agents accountable to activities.
  • Follow the systems for our productivity rhythms to ensure agent productivity.
  • Manage the quality of all listing launches and contract to close, including inspecting the quality of tasks completed by others and creating systems for increased efficiencies and experience.
  • Lead your team to provide a world-class experience for clients through phone and email on behalf of the team pre-contract, through contract, and beyond.
  • Lead your team to generate reviews and referrals from clients during and after the transaction.
  • Own a piece of the team growth efforts through posting recruiting ads, calling agent recruits, and scheduling appointments for Team Operator.
  • Plan and execute a minimum of 3 events per year for clients that are done at a high level to drive business referrals.
  • Plan and execute a minimum of 2 agent recruiting events that are done at a high level to promote business growth.
  • Responsible for all financial systems, accounts payable, accounts receivable, the budget, and profit and loss statement - beyond what is provided through company resources, including taking ownership of actively identifying and driving opportunities to reduce expenses.
  • Create and maintain the team’s operations manual that documents all systems and standards that are not able to exist within our technology leverage, Brivity. 
  • Keep the team leader informed of any challenges that arise and bring potential solutions. 
  • Commit to weekly 1:1 coaching sessions, and Brivity trainings.

Responsibilities

Required Background: 

  • Requires a prior work history that demonstrates strong, successful leadership ability, the ability to plug into and improve existing systems, understand complexities of a process flow and lean processes, and provide an enthusiastic level of support to a team. 
  • Ability to write reports, business correspondence, and procedure manuals.
  • 2+ years experience in a role leading an operations department at a high level

Other Details: 

  • Compensation depending on experience, ranges from $50,000 - $60,000
  • We have an in-house work model with flexibility for an occasional work-from-home day and vacation planning. 
  • This role may travel 1-2 times per year locally or out of state for conferences
